Data that may be processed through WhatsApp
When a person talks to a client company through Eido Receptionist, the service may process the data needed to maintain and manage that conversation.
- Phone number used on WhatsApp.
- Name, alias, visible identifier or profile information available in the conversation.
- Content of messages sent and received.
- Files, images, documents, audio messages or other attachments sent voluntarily.
- Conversation metadata needed to operate the service, such as date, time, status, technical identifiers or channel used.
- Data voluntarily provided by the user during the conversation.
Purposes of processing
Eido Receptionist processes messages to provide automated assistance, answer questions, manage requests and deliver the service contracted by the client company.
- Receive, interpret and respond to messages related to the client company activity.
- Classify requests, prepare responses, route cases or record information needed for assistance.
- Provide technical support, maintain security and improve service operation.
- Comply with legal obligations or handle data-rights requests where applicable.
Responsibility of each client company
Each client company controls its own WhatsApp Business account, decides how it uses Eido Receptionist with its users and must properly inform them about the data processing it performs in its own activity.
The client company is responsible for having the legal bases, notices, consents, templates, policies and authorizations required to contact and assist its users through WhatsApp.
Legal basis
- Service provision: processing needed to perform the service requested or contracted by the client company.
- Consent: where required for specific communications, features or processing activities.
- Legitimate interest: security, abuse prevention, technical support and reasonable service improvement where applicable.
- Legal obligations: retention, rights handling or cooperation with authorities where an applicable obligation exists.
Providers and processors
Meta/WhatsApp and technical providers needed for hosting, automation, communications, maintenance and artificial intelligence may be involved in operating Eido Receptionist.
Names of unconfirmed technical providers are not published. Specific providers should be identified in the contract, data processing addendum or service configuration once defined.
International transfers
The use of WhatsApp Business and certain technical providers may involve processing or access to data from countries outside the European Economic Area. Where applicable, the relevant contractual, technical or organizational safeguards will be used.
Retention
Data will be kept for the time needed to provide the service, handle requests, comply with legal obligations and resolve possible liabilities.
The specific operational retention period for conversations is identified as configurable by contract or client company until a final internal policy is confirmed.
Security
Eido Automation will apply reasonable measures to protect the information processed, including access control, environment separation, use of suitable technical services, logging of relevant operations and review of critical configurations.
Data subject rights
You may request access, rectification, deletion, objection, restriction of processing and portability where legally applicable.
To exercise rights over data processed by Eido Receptionist, write to info@eidoautomation.es and include the information needed to locate the conversation. If the client company acts as controller for its relationship with the user, the request may be coordinated with that company.
